Compilo

This document describes the eADM for Compilo, which automates the synchronization of users and departments from an HR system. It outlines the necessary preparations, such as ordering the service, and the step-by-step process for configuring the integration.



Overview

This integration ensures that users and the organizational hierarchy are automatically synchronized and maintained in Compilo. The integration automatically transfers users and departments from the HR system and creates them in Compilo. When an employee leaves or a department is closed, Compilo is updated accordingly.

The data flow is managed using synchronization templates, allowing you to decide which data should be transferred. Employees can be automatically provisioned with a user account in Compilo or assigned one manually.


Note: Identum does not manage the Compilo service and cannot answer questions regarding its use. For assistance with using the Compilo application, please contact Compilo Support.

Warning: Departments are only deactivated if there are no open deviations associated with them.



Pre-configuration

  • Order the service from both Compilo and Identum. It may be helpful to schedule a kickoff meeting (30–45 minutes) attended by Identum, Compilo, and the person in your organization responsible for Compilo.

  • Determine whether there are users or departments in eAdm should not be synchronized with Compilo.

  • Determine whether all employees should have a user account in Compilo.

  • Decide whether to include manual user accounts.

  • Please clarify whether employees of other organizations managed in eAdm e.g., church councils, municipal property companies) should be included.



Configuration

Step 1: Match User Accounts

To link eAdm existing users in Compilo, the username exported from eAdm match the user in Compilo. If no match is found for the username, a new user will be created.

  1. Check the username format currently used in Compilo. This is typically the primary email address, UPN, or sAMAccountName from Active Directory.

  2. Please check which username format is used at your organization.


Step 2: Map Organizational Units

Before the integration can be set up, you must add an external unit number to existing units/levels in the Compilo organizational hierarchy. This allows them to be matched with departments from the HRMeAdm continuously updated when names or numbers change.


Step 3: How to Export Organization IDs from eAdm

Use the "Organization ID" from departments in eAdm the "External Entity" in Compilo. This ID is Visma's internal serial number for departments and is a static value that cannot be changed.

  1. In eAdm, go to Departments.

  2. Select "Show all ".

  3. Scroll down to " Select operation " and click " Export to CSV ".

  4. In the export dialog, select the department name and organization ID, and optionally the organization type, to get a list of all departments along with their IDs.


Step 4: How to Enter IDs into Compilo

  1. Add the exported IDs to the corresponding departments in Compilo that you want to manage through the integration. Enter the ID in the field labeled "Ekstern enhet " (External unit) for each unit.

  2. If this field is not visible to you, ask Compilo to make it available.


Warning: Each ID can only be used once. You CANNOT enter the same ID on two different units in Compilo.


When the matching process is complete, notify Identum and Compilo so that the data can be validated and the integration can be activated.
